Transitioning the face-to-face certification exam to an online exam using Moodle.

The examinees and examiners gathered at the testing venue to conduct the certification medical examination, but it became impossible to do so due to the COVID-19 pandemic. Currently, Moodle has been introduced and it is now possible to conduct the examination online.

The Japan Society of Geriatric Dentistry conducts a certification exam for certified doctors every year. A "certified doctor" is a dentist who has acquired basic knowledge and treatment skills (or techniques) for dental care required by the elderly.
Until now, the exam has been conducted through presentations using posters and written exams. Candidates and examiners gather at the exam venue, and candidates give poster presentations in front of the examiners. However, due to the spread of the new coronavirus infection, it has become impossible to conduct the exam in person. Therefore, online implementation has been considered and a learning management system has been introduced.

Before using Moodle, we used to gather at the exam venue and conduct the exam. For example, if there are 50 examinees, they will be divided into several groups and presentations will be conducted. Two judges will be assigned to each group. The participants will give presentations and engage in Q&A sessions.
Afterwards, the judges will evaluate and record their evaluations on evaluation sheets. Also, while listening to the presentations, the two judges will create one question each for each examinee. After the presentation, the judges will send the questions to the presenter via email and evaluate their answers. The administrative staff will collect the results and check them. These were conducted using Dropbox, Google Forms, etc.

Moodle has been introduced, and it is now possible to conduct online as follows.
For the presentation for the exam, it will be done via Zoom from Moodle. Two examiners will watch the presentation and conduct a question and answer session, and register the evaluation sheet on Moodle. The examiner will use the "assignment" function of Moodle to create questions and have the examinee answer them. The examiner will then check the answers, make a pass or fail decision, and inform the secretariat via a message on Moodle. After that, the secretariat will inform the examinee via a message on Moodle.
By incorporating Moodle in this way, we have been able to safely manage and share information internally. The evaluation method for the examination has also been improved, and efficient examination meetings can now be held, reducing the time for meetings. In the future, it is necessary to continue to devise and use Moodle's functions according to the operation of the academic society.

Currently, there are about 30 categories created and used on Moodle. We are also considering using it for board member elections. We are planning to further utilize Moodle in the future.
