【TC Association Practical Seminar】PDCA for Manual Creation (2-part series)

At the practical seminar hosted by the Technical Communicator Association (TC Association) in May-June 2019

PDCA for Manual Production (2-part series)

How to Create Rules for Reexamining Personalization

We will give a lecture.

Overview

In this seminar, we will discuss the key points for solving the above challenges in product and support information creation, using manuals as examples, from the perspectives of "writing" and "workflow".

When it comes to "product and support information", there is a strong image of product manuals, user guides, FAQs, and service information for external use. However, it also includes a wide range of document creation that is useful for business manuals and internal manuals.

The seminar will be conducted in two parts. We recommend attending both parts, but it is also possible to attend only one. Each part contains information that can be understood and utilized separately, so please feel free to participate according to your schedule.

【1st】Define the ease of understanding of the manual and create rules for "writing style"

The "clarity" and "difficulty" of manuals are often discussed subjectively, making it difficult to establish clear criteria. One of the reasons why it is difficult to share challenges and directions for manuals with others is here.

In the first session, we will explain how to objectively visualize the issues with our company's manuals by defining the clarity that tends to be subjective. Additionally, we will learn practical points for creating guidelines to standardize writing for the identified issues through workshops.

[Second Time] Organize "Workflows" to prevent personalization of manual creation tasks

One of the reasons why manual creation tasks become personalized is because different people have different ways of creating, checking, and progressing. How can we define a standard way of progressing as a team?

By learning how to organize workflows, it becomes easier to efficiently train new staff and provide support for workload reduction. Additionally, when should we review our quality standards and rules, and how should we do it? We will discuss specific case studies and share tips on this.
