In May to June 2019, at a practical seminar hosted by the Technical Communicators Association (TC Association)
PDCA for Manual Production (2-Part Series)
How to Create Rules to Reassess Personalization
will be lectured.
Overview
In this seminar, we will discuss the key points for solving the above challenges in product and support information creation, using manuals as a subject, from the perspectives of "writing" and "workflow".
When we talk about "Product and Support Information," there is a strong image of external product manuals, user guides, FAQs, and service information. However, it also includes a wide range of document creation that is useful for business manuals and internal manuals.
The seminar will be conducted in two sessions. While we recommend attending both sessions, it is also possible to attend just one. Each session contains content that can be understood and utilized on its own, so please participate according to your convenience.
Define the clarity of the manual in the first round and create rules for writing.
The "clarity" and "confusion" of manuals are often discussed subjectively, and the criteria for judgment can become ambiguous depending on the person. One reason it is difficult to share challenges and directions regarding manuals with others lies here.
In the first session, we will explain how to objectively visualize the challenges of your company's manuals by defining the clarity of manuals, which can often be subjective. Furthermore, we will practically learn through workshops the key points for creating guidelines to standardize writing criteria for the identified challenges.
To prevent the personalization of manual production tasks for the second time, organize the "workflow".
One reason why manual production tasks become dependent on individuals is that the methods of creation, checking, and progression differ from person to person. How can we define a standard approach for the team?
By learning how to organize workflows, it becomes easier to efficiently conduct on-the-job training for new personnel and provide support to reduce workload. Additionally, when should we review the quality standards and rules that have been established, and how should we do it? I will discuss the tips based on specific case studies.
