*What is Confluence?

This is the corporate version of the Wiki. By using it as a manual creation/management tool, you can achieve information sharing, standardized processing of large documents, and version control.

Background

Dentalsystems Corporation (hereinafter referred to as Dentalsystems, abbreviated) is a company that develops, sells, and supports a dental chart and receipt system called POWER4G for use by dentists and assistants.

With the changes in laws and regulations, the frequency of updates for POWER4G is not low. While new features and changes to the interface are being made, there is a situation where the manual has not caught up with these updates.

In July 2018, we received an inquiry from President and Director Iwamuro stating that they would like to align the current system with the manual's description.

Challenges at the time of request

"Difficult to revise and unable to keep up with system updates in the manual."

At Dentalsystems, we were creating manuals using Word, but we were facing the following challenges:

We are actively working to improve customer satisfaction as one of the strategies for improving service in call center operations.

"The frequency of system updates is not keeping up with manual revisions."

"We are creating this while adding on, and the information that should be read together is scattered."

"I want to manage multiple manuals in a unified manner."

"I want to completely renew the content of the manual in a short period of time, including updating the display screen."

During that time, in November 2017, our company's website was viewed and we received inquiries, and a selection was made by several companies.

Reasons for Choosing Human Science

"The key is the ability to simultaneously solve problems and create content in a short period of time with flexibility."

We received a request to create a manual of approximately 300 pages in a short period of time while solving the challenges of creating and managing manuals. Therefore, Human Science proposed the following two points:

①Writing by multiple writers

We have a large number of writers at Human Science Co., Ltd., so we can be flexible in meeting deadlines.

②Introduction to Confluence

Not only did we improve the manual, but we also suggested tool implementation to reduce the burden of creation and management.

We were selected for our Human Science's flexible responsiveness, such as being able to create manuals in a short period of time and proposing the introduction of Confluence for problem solving.

Process of Manual Creation

July 2018

(1) We have introduced Confluence and performed style adjustments and output testing.

(2) Created table of contents and sample manuscript. In the table of contents, we provided screen configuration and headings for each purpose, and prepared an entrance from the user's perspective. In the sample manuscript, you were able to confirm the writing style of the text, such as explanatory text and supplementary notes.

August-September 2018

Created manuals using Confluence.

With Confluence, we were able to centrally manage data and edit manuscripts simultaneously with three writers. Additionally, by selecting the appropriate add-ons and exporting to PDF, we were able to output data in a single source without spending time on DTP.

As a result of working efficiently, we were able to create over 300 pages of new manuals in just 2 months.

Effect after Request

"Managing manual information has become easier."

"The structure has been completely revamped, and the writing style and format have been standardized, resulting in a significant improvement in the clarity of the manual."

Adopting a responsive design that can be used on both PC and mobile devices, the usability has greatly improved. The video manual for beginner users is also well received.

In addition, by introducing Confluence, we were able to centrally manage manuals that were previously divided into multiple files. We can now export them to PDF smoothly and distribute them to customers quickly.
